Refund Policy

1. Scope
RB DesignTech delivers custom, project-based consulting and product-development engagements rather than off-the-shelf products, so refunds are handled differently than a typical retail purchase. This policy explains how cancellations, deposits, and refunds are generally handled; the specific terms of your engagement always take precedence, as set out in your signed Engagement Document.
2. Deposits & Milestone Payments
Engagements are typically structured around an upfront deposit followed by milestone-based payments tied to agreed deliverables. Work on a milestone begins only once the associated payment (or deposit, for the first milestone) is received.
If an engagement is cancelled before a milestone is completed, fees for work already performed up to the cancellation date are non-refundable; any portion of a milestone payment corresponding to work not yet started may be refunded at our discretion, less any non-recoverable third-party costs already incurred on your behalf.
3. Non-Refundable Items
The following are generally non-refundable:
- Fees for milestones that have been completed and delivered;
- Third-party costs incurred on your behalf (e.g., cloud infrastructure, licensing, API/LLM usage, contractor fees) once committed;
- Discovery, scoping, or strategy work already performed.
4. Cancellation Notice
Either party may cancel an ongoing engagement by providing written notice as specified in the Engagement Document (typically 15–30 days). Upon cancellation, we will invoice for work performed and any committed third-party costs through the notice period, and refund any prepaid, unearned fees beyond that point.
5. Disputes
If you believe an invoice or refund has been calculated incorrectly, contact us within 30 days of the invoice date so we can review it together in good faith before escalating further.
